+ Responsibilities will include project setups, calendar management; travel planning, presentations and proposals, time & expenses, meeting preparations and document production. Overtime is required and may be unexpected at times.
+ MS Word (NCI formatted document creation, including editing and proofreading, page numbering and section breaks, table of contents, header and footer creation, conversion to pdf, mail merges)
+ MS Excel (workbooks/spreadsheets setup, data entry, basic reports and mathematical functions, inserting sheets, pagination, printing, basic charts, headers & footers, mail merges,)
+ MS PowerPoint (presentation creation and editing using NCI layout)
+ MS Outlook (email creation, calendaring, meeting invitations, creation/management of group lists, update of address books, contacts entry)
+ Project administration - conflict checks, project setups, proforma review, client invoice drafts, coordinate with billers
+ Time and expense reporting
+ Document production - work with printers, copiers, scanners and binding machines
+ Document filing, storage, disposal
+ Check requests for subcontractors
+ Mail and package handling
+ Conference call and WebEx facilitation
+ Navigant bio formatting, editing and uploading onto NCI portal
+ Travel planning, including international travel
+ Proofreading and editing a variety of Microsoft Office documents and NCI templates.
+ Off-site meeting scheduling
+ Organizing mass mailings when necessary
+ Frequently communicates with others and must be able to share information effectively
+ Support New Hire Onboadrding Process
+ We are looking for someone who is energetic, pro-active, personable, who will take a professional approach to their work. Must be a team player with excellent customer service skills.
+ 5+ years' experience as an Administrative Assistant supporting multiple people, ideally in a Professional Services or Consulting firm environment
+ Advanced knowledge of Microsoft Office products: Word, PowerPoint, and Excel. Outlook E-mail and Lotus Notes databases
+ Ability to conduct basic searches for subject matter over the internet
+ Strong communication skills (verbal and written), including proofreading and editing
+ Demonstrate excellent customer service with individuals at all levels both internal and external
+ Commitment to working collaboratively with other administrative assistants to maintain seamless coverage of departments as needed
+ HS diploma or equivalent required. College degree a plus, but not mandatory.
+ Strong conceptual, as well as quantitative and qualitative analytical skills
+ Work as a member of a team as well as be a self-motivator with ability to work independently
+ Constantly operates a computer and other office equipment to coordinate work
+ Frequently travels by airplane, train or car as necessary to perform work at another location
+ Regularly uses close visual acuity and operates computer equipment to prepare and analyze and transmit data
+ Generally works in an office environment
